Billing and payment management

The billing section in Tallyfy provides tools to manage all aspects of your subscription, payment methods, and account limits. Tallyfy uses Recurly as its billing system along with a credit system for managing payments and refunds.

Managing your subscription

Access your billing dashboard to:

  • View your current plan details
  • Update payment methods
  • View past invoices and payment history
  • Add or remove user licenses
  • Manage your credits

Credit system

Tallyfy utilizes a credit system for billing that functions like a bank account balance:

  • Credits are used before charging your backup payment card
  • You only pay for active members - billing begins when a member activates their account
  • Pro-rated credits are applied when you disable members or change roles
  • Credits have a 5-year expiration
  • Credits can be used for licenses and add-ons, but not professional services
  • Credits are not refundable as cash
  • Credits are available for purchase via ACH/wire transfer

When members are disabled or role changes occur:

  • Real-time adjustments: Billing adjusts immediately when member roles change
  • Pro-rated credits: When downgrading or disabling members, unused days are credited to your account
  • Credit application: When upgrading, available credits are applied before charging your card

Billing notification frequency

By default, Tallyfy sends real-time billing notifications when changes occur that affect your billing, such as when members join or get disabled. If you’re receiving too many notifications, you can request a change to your billing notification frequency:

  • Real-time billing (default): Receive immediate notifications and billing updates whenever changes occur
  • Daily billing: Updates to billing happen just once a day, consolidating all changes

Special pricing programs

Coupon redemption

To redeem a coupon code:

  1. Navigate to the billing section
  2. Click Update Plan
  3. Enter your coupon code in the designated field during checkout
  4. The discount will be applied automatically

If you encounter issues with coupon redemption, contact Tallyfy support with your coupon code and account details.

Fair Price Guarantee program

Tallyfy offers substantial discounts (up to 90% lifetime reduction) for organizations in eligible countries through our Fair Price Guarantee program. This program adjusts pricing based on regional economic factors.

Eligibility requires:

  • Most members must be in the qualifying country
  • Annual plan subscription

To apply for the Fair Price Guarantee:

  1. Visit the Fair Price Guarantee page
  2. Read all instructions carefully
  3. Complete and submit the application form provided on the page
  4. Once approved, you will receive a coupon code via email
  5. Apply this coupon code when upgrading your Tallyfy account

Tallyfy’s billing management system offers comprehensive control over payment methods credits notifications and discounts through the Settings > Billing section using Recurly as its payment processor.

Tallyfy’s pricing structure includes annual billing options with Full Member licenses at $300/year and Light Member licenses at $50/year plus various enterprise add-ons professional services and special discounts for nonprofits and eligible countries through the Fair Price Guarantee program.

Tallyfy’s platform offers Full Members at $300/year and Light Members at $50/year with specific role capabilities while providing free guest access and trial limits that include 10 members 10 guests 100 task assignments and 10 active processes.

Org Settings > Understanding Member Statuses

Member statuses in Tallyfy include Active for fully-onboarded users Invited for pending members Deactivated for removed users and Bot/Unbilled for special accounts which help manage access and billing across the organization.
