Visibility Rules
Show and Hide Steps Dynamically
Visibility rules let you create flexible processes where different paths appear based on the situation. This keeps processes clean and relevant.
What are Visibility Rules?
Visibility rules control which steps appear in a running process:
- Steps can start hidden and appear when conditions are met
- Steps can start visible and hide if not needed
- Reduces clutter by showing only relevant work
- Creates branching paths without complex workflows
Setting Up Visibility
- In template editor, select the step to control
- Open step settings
- Set initial visibility (shown or hidden)
- Add automation rule to change visibility
Common Visibility Patterns
Hidden by default, show when needed:
- IF "Special Requirements" checkbox is checked, SHOW "Special Handling" steps
- IF "Issue Found" equals "Yes", SHOW "Resolution" steps
Shown by default, hide when not applicable:
- IF "Customer Type" equals "Existing", HIDE "New Customer Setup" step
- IF "Express Shipping" selected, HIDE "Standard Shipping" step
Branching Processes
Create different paths based on decisions:
- Start with common steps visible to all
- Add conditional steps for different scenarios
- Use form field values to trigger the right path
- Each process only shows relevant steps
Benefits of Visibility Rules
- Cleaner processes - Only relevant steps appear
- Faster completion - Skip irrelevant steps automatically
- Flexible templates - One template handles multiple scenarios
- Easier training - Users see only what they need
Visibility vs Separate Templates
| Use Visibility Rules When | Use Separate Templates When |
|---|---|
| Core process is the same | Processes are fundamentally different |
| Only a few steps differ | Most steps are different |
| Differences are based on data | Differences are based on process type |
