Introduction to Automations

Automations in Tallyfy let your processes take actions automatically based on conditions you define. This reduces manual work and ensures consistency.

What are Automations?

Automations are IF-THEN rules that:

  • Run automatically without human intervention
  • Check conditions based on form field values or step completion status
  • Perform actions like changing assignments, adjusting deadlines, or showing/hiding steps
  • Save time on repetitive routing decisions

The Four Action Types

Tallyfy provides four types of automation actions:

Action TypeWhat It Does
Assignment ActionsAdd, replace, or clear task assignees based on conditions
Deadline ActionsSet or adjust task deadlines based on form field values
Status ActionsRe-open completed tasks (useful for approval loops)
Visibility ActionsShow or hide steps dynamically based on conditions

Where to Add Automations

Automations are added at the template level:

  1. Open the template editor
  2. Click on Automations tab
  3. Click + Add Rule
  4. Define your IF condition and THEN action
  5. Save the template

Automation Rule Components

Every automation rule has two parts:

  • Condition (IF) - What must be true? This checks form field values (what users enter) or step completion status
  • Action (THEN) - What should happen? This performs the automated response when the condition is met

Common Automation Examples

  • IF request amount is greater than $5000, THEN assign to senior approver
  • IF country equals "UK", THEN show UK-specific compliance steps
  • IF approval decision equals "Requires changes", THEN re-open the previous task
  • IF customer type equals "Enterprise", THEN show extra onboarding steps
Start Simple: Begin with one or two basic automations. As you learn the patterns, you can build more complex rules.
