One-Off Tasks
Tasks Outside of Processes
Not all work fits into a predefined process. One-off tasks let you assign and track individual work items without creating a full template.
What are One-Off Tasks?
One-off tasks are standalone tasks that:
- Do not belong to a process template
- Are created for specific, one-time needs
- Can be assigned to anyone in your organization
- Are tracked just like process tasks
When to Use One-Off Tasks
Create one-off tasks for:
- Ad-hoc requests that do not repeat
- Quick assignments between team members
- Follow-ups from meetings or conversations
- Personal reminders with accountability
- Work that does not fit existing templates
Creating a One-Off Task
- Click the + CREATE button or press
Ctrl + Option + T(Mac) /Ctrl + Alt + T(Windows) - Select One-Off Task
- Enter the task title and description
- Assign to a person or group
- Set a due date
- Add any form fields needed
- Click Create
One-Off Task Features
One-off tasks support:
- Form fields for data collection
- File attachments
- Comments and discussions
- Due date tracking and reminders
- Assignment to internal users or guests
Guest Tasks
One-off tasks can be assigned to external people:
- Send task to anyone via email
- Guest receives a secure link
- No Tallyfy account required
- Perfect for customer requests or vendor follow-ups

Tip: If you find yourself creating similar one-off tasks repeatedly, that is a sign you should create a template instead.
