Task Basics
Understanding Tasks in Tallyfy
Tasks are the individual units of work that make up your processes. Understanding how they work is essential for getting things done efficiently.
What is a Task?
A task is a single piece of work that:
- Is assigned to one or more people
- Has a clear definition of "done"
- May have a deadline
- Can include form fields to collect data (including checklist fields for subtasks)
- Is tracked as part of a larger process (usually)
Tasks View vs Tracker View
Tallyfy provides two main ways to see your work:
- Tasks view - Your personal to-do list showing ALL tasks from ALL processes mixed together, organized by due date
- Tracker view - A bird's-eye view organized by process, showing progress across your organization
Use the Tasks view when you want to focus on your personal workload. Use the Tracker view when you need to see how processes are progressing overall.
Finding Your Tasks
Access your tasks from multiple places:
- Tasks view - Click Tasks in left sidebar for your personal to-do list
- Tracker view - Click Tracker to see tasks organized by process
- Dashboard - See tasks due today and overdue
- Process view - Click into any process to see only its tasks
- Notifications - Get alerts for new and due tasks
Task Information
Each task shows you:
- Title - What needs to be done
- Description - Detailed instructions and context
- Due date - When it should be completed
- Process - Which process this task belongs to
- Status - Not started, in progress, complete
- Assignee - Who is responsible
Task Priorities
Tallyfy organizes tasks by urgency:

| Overdue | Past the deadline - needs immediate attention |
| Due Today | Must be completed today |
| Due This Week | Coming up soon |
| Later | Can be planned for future |
Task Filters
Filter your task list to focus:
- My Tasks - Only tasks assigned to you
- All Tasks - Tasks across your organization
- Watching - Tasks you are following
- By template - Tasks from specific templates
Tip: Check your Tasks view at the start of each day to see what needs your attention. Focus on Overdue and Due Today first. If the Tasks view feels confusing with many processes running, use the Tracker view instead for process-level organization.
