What are Templates?
Understanding Templates in Tallyfy
Templates are the foundation of everything you do in Tallyfy. Think of them as reusable patterns for your processes that you create once and use many times.
What is a Template?
A template is a documented process that contains:
- Steps - The individual tasks that need to be completed in order
- Assignments - Who is responsible for each step
- Deadlines - When each step should be completed
- Form fields - Data that needs to be collected at each step
- Instructions - Detailed guidance for completing each step
Templates vs Processes
Understanding the difference is crucial:
| Template | Process |
|---|---|
| The reusable pattern | A live process launched from that template |
| Created once | Launched many times from template |
| Defines the standard way | Tracks actual progress |
| Can be edited and improved | Based on template version at launch |
Types of Templates
Procedure Templates: Step-by-step processes with tasks, the most common type.
Form Templates: Standalone forms for collecting information without a multi-step process.
Document Templates: Structured documents with form fields for data collection.
When to Create a Template
Create a template when you have a process that:
- Runs more than once (weekly, monthly, or on-demand)
- Involves multiple people or handoffs
- Needs to be done consistently every time
- Requires tracking and visibility
- Has compliance or audit requirements
Best Practice: Start with your most frequent processes. Employee onboarding, customer onboarding, and approval workflows are great first templates.
