Understanding Users and Organizations

Knowing how Tallyfy handles users and organizations is essential for effective collaboration.

Organization Structure

Your organization is the top-level container that holds all team members, templates, processes, and settings.

Member Roles

Tallyfy has three member roles that determine what users can do:

RoleCapabilities
AdministratorFull control including billing, settings, managing users, templates, and system configuration
StandardCreate and edit templates, launch and manage processes, complete tasks
LightComplete assigned tasks and provide feedback only; cannot create or edit templates

Full vs Light: Administrator and Standard are considered "Full" members with complete platform capabilities. Light members are for users who only need to execute tasks.

User Management

To add someone: Go to Organization > Members > Invite Members, enter email, select role, send invitation.

Groups: Create groups like "Sales Team" to simplify assignments and permissions.

Guest Access

For external people (customers, vendors):

  • Guests can complete specific tasks without a full account
  • They only see what you share with them
  • No Tallyfy account required
Best Practices: Use groups for easier management, start with minimal permissions, use guests for external collaborators, and review permissions periodically.
